Why we exist
Strata councils and property managers are stretched thin. Minutes still need to be accurate, neutral, and easy to scan, with motions, movers/seconders, vote counts, action items, and next steps captured clearly. Add on the liability that any owner could be looking for an error to act on, and what you get is ~30,000 properties of untrained councils hoping not to ever make a single mistake on the legal document that will be scrutinized by hundreds of people every few months. It didn’t make sense.
We built StrataMinutes.ca after being inside the industry, dealing with late revisions, long nights, and overpriced assistance. Our goal is simple: premium minutes without premium headaches.

We take your meeting recording and any documents, then produce polished minutes formatted to BC expectations and best practices under the Strata Property Act (this is not legal advice, just administrative work). Every set is prepared by a trained specialist and reviewed for clarity, consistency, and client preferences. The idea is that you shouldn’t have to do any work on any legal minutes documents, you should be able to end your meetings and go to sleep without worry, and wake up to minutes made and designed by experts.
How we work
Upload securely. Tell us who the recipients are and any house style you prefer. We process, review, and return minutes that read cleanly and reflect what actually happened. No editorializing, no drama. Need revisions? Ask. We track changes and handle re-sends so your council and owners stay aligned.
Our philosophy on speed & pricing
Top admins are faster than rookies and our internal systems make us faster still. We don’t believe you should pay more because we work better. That’s why our pricing is simple and predictable instead of hourly. You get rapid turnaround without the “meter running.”
We use a production line system of operation to ensure the entire process is faster and cheaper than one person transcribing and designing everything. For Property Management Brokerages: We can limit the time individual experts like a Property Managers need to spend creating minutes, freeing them up to do higher value tasks (We offer White Label services).

Minutes should stand up months later when memories fade. We focus on structure (clear sections), neutrality (no loaded language), and traceability (motions and results that are easy to reference). Expect consistent formatting across regular meetings, AGMs/SGMs, and special resolutions, with action items surfaced so they don’t get lost.
Privacy & security
Client uploads are private by default and handled under confidentiality obligations. Files are scanned for malware, stored securely, and retained only as long as needed to deliver your minutes and support you. We operate under BC’s PIPA and keep you informed about where data is processed.
